We are looking for a Senior Executive Assistant to support a senior Engineering Executive in the Product & Technology organization. In this role, you will interact with all levels of the organization, as well as with high-profile customers, partners, and associates.

As a successful Senior Executive Assistant, you will manage a wide range of administrative and operational tasks that optimize executive effectiveness and efficiency. You are resourceful, proactive, and highly organized, with an approachable and professional presence when engaging with internal and external stakeholders.

This position reports into Manager, Administrative Assistant Enablement & Operations, will be based in our Austin office and requires working onsite approximately three days a week (Tuesday - Thursday).

What you’ll do:

  • Work closely and effectively with Executive to keep him well informed of upcoming commitments and responsibilities, following up as appropriate

  • Strategize regularly with Executive, proactively handling matters and following through on meetings, projects, and initiatives to successful outcomes—often under deadline pressure while maintaining confidentiality

  • Communicate directly and professionally, on behalf of Executive, with direct reports, senior leadership, customers, and partners on matters related to their organization

  • Support Executive in the preparation of team meetings, capture action items, drive resolution, and circulate meeting notes

  • Manage complex calendars and international travel, including updating meeting cadences to reflect business priorities, aligning schedules with Executive's, proactively scheduling complex or large meetings, and working regularly with internal and external stakeholders

  • Independently handle international and domestic travel coordination and monthly expense reconciliation

What we’re looking for:

  • 8+ years of tactical and strategic administrative support at a Senior Executive level within a SaaS company; experience supporting an Engineering organization is a plus

  • Bachelor’s degree in Business Administration or a related field, or equivalent work experience

  • High proficiency with Slack, Google Workspace, Concur, Workday, Navan; proficiency with Confluence, Jira, and other Atlassian tools is a plus

  • Strong dedication to meeting the expectations of leadership and senior executives by maintaining effective relationships across the organization

  • Demonstrated professionalism with exceptional communication and interpersonal skills

  • Ability to remain flexible and agile in a constantly changing environment

  • Strong stakeholder management skills, fostering teamwork, collaboration, and alignment across executive teams

Additional Information

Base Pay Range:

76,544.00 - 105,248.00 USD Annual

This role may also be eligible for Equity Compensation and/or Bonus Incentive Compensation. Procore is committed to offering competitive, fair, and commensurate compensation. Actual compensation will be based on a candidate’s job-related skills, experience, education or training, and location.
