Job Description

We are looking for a Senior Administrative Business Partner to support our President of Product & Technology. In this role, you will interact with all levels of our organization as well as high-profile clients, partners, and associates.

As a successful Senior Administrative Business Partner, you'll manage a wide range of administrative support-related tasks that optimize our President's effectiveness and efficiency. This role requires experience in C-level executive support and the ability to maintain an approachable and professional presence to internal and external contacts. You are resourceful, proactive, and have a keen ability to thrive in a fast paced environment with evolving priorities. 

This position reports to the P&T Administrative Operations Manager and will be based in Austin, TX. The ideal candidate will be required to work from our Austin office when needed.

What you’ll do:

  • Work closely and effectively with executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately
  • Assist in initiatives related to culture, personnel, operational strategy etc.
  • Orchestrate and manage strategic initiatives/projects for the Austin office
  • Self identify and autonomously handle high impact projects while maintaining confidentiality and discretion
  • Process management/recommendations and implementation
  • Proactively handle matters and follow-through on projects/initiatives to successful completion, often with deadline pressures
  • On behalf of executives, communicate directly and professionally with their direct reports, senior leadership, customers and partners on matters related to their organization
  • Effectively navigate at times ambiguous tasks or situations with little oversight
  • Support executive in preparation of team meetings, capture action items, run point on resolution and circulate meeting notes
  • Complex calendar management: Updating meeting cadences to reflect business priorities, aligning with executives on schedules, proactively scheduling complex/large meetings, working with external and internal stakeholders regularly
  • Independently handle travel coordination and monthly expense reconciliation
  • Identify and implement opportunities to create efficiencies between executives and the business
  • Execute delegated tasks such as creating job descriptions/requisitions, managing approvals on behalf of executives 


What we’re looking for:

  • 5+ years of tactical/strategic administrative support at the Executive level within a SaaS company
  • Bachelor’s degree in a Business Administration/related program, or equivalent work experience
  • High proficiency with Slack, Google Apps, Concur, Workday and MS Office Suite
  • Dedication to meeting the expectations of leadership and other senior executives by maintaining effective relationships across the organization. 
  • Exhibit confidentiality and discretion when dealing with sensitive matters/information
  • Belief in one’s capabilities and ideas, with a willingness to express an independent perspective, with humility
  • Demonstrated professionalism, exceptional communication, and interpersonal skills
  • Ability to remain flexible and agile in a constantly changing environment
  • Demonstrated ability to autonomously ensure tasks are carried through to completion and on time 

Additional Information

Base Pay Range $100,000-$137,500. Procore is committed to offering competitive, fair, and commensurate compensation, and has provided an estimated pay range for this role. Actual compensation will be based on a candidate’s job-related skills, experience, education or training, and location.
